DEFINITION OF CLUB MEMBERS
Family: 2 adults and up to 4 children;
Student: Over 18 and in full time education;
Junior: under 18.
CHILD PROTECTION POLICY
Carraig Tennis Club is fully committed to safeguarding the well being of its members. Every individual in the club should at all times show respect and understanding for their rights, safety and welfare, and conduct themselves in a way that reflects the principles of the club and the guidelines contained in the Sport Ireland’s Safeguarding Guidance for Children & Young People in Sport.
In case of any child safety concern the Child Protection Officer (CPO) or the Designated Liaison Person (DLP) can be contacted via email at carraigtcinfo@gmail.com. The email is monitored by the club secretary who will pass on the communication to the CPO and/or the DLP.
The DLP and CPO can also be contacted by phone. The phone numbers of the DLP and CPO are made available on the board in the club house and on the club website.
DATA PROTECTION
Members are obliged to comply with the provisions of the Data Protection Acts 1988-2003. The Club’s Data Protection policy is available on the website.
RIGHTS OF MEMBERS
Members can enter the club grounds and enjoy the facilities.
Members can play in the Club Championships.
Members can attend and vote at AGMs and EGMs.
Members can propose new members to the club committee.
If a member fails to pay the renewal fee within 1 month of the renewal due notification, they shall be deemed to be no longer a member of the club.
CODE OF CONDUCT ON TENNIS COURTS
Members should never demonstrate threatening or abusive behaviour or use foul language.
No bicycles, scooters or buggies are allowed on the tennis court area.
Members should remove their rubbish from the courts when leaving.
Proper footwear must be worn on courts at all times.
No loud music allowed on court.
COURT USAGE
Members shall abide by the guidelines set by the Committee for the booking of courts. Members must cancel their bookings in good time if they are unable to play.
Use of Club Equipment, including the ball machine, must be done in compliance with the instructions for use set out by the Committee.
Children under the age of 14 must be accompanied by an adult at all times.
JUNIOR MEMBERS & SUPERVISION
The times of use of courts by juniors will be at the discretion of the Club.
Carraig Tennis club is not responsible for providing adult supervision for children other than at organised junior coaching, junior camps and junior tournaments.
Carraig Tennis club does not accept responsibility for juniors that arrive at the club to play on their own. It is strongly recommended that if children are playing in the club independently of the club’s organised activities that a parent/guardian stays with them for the duration of the activity.
Junior members must use Junior Fobs to access the courts; adult Fobs cannot be used. Juniors are not permitted unsupervised access to the clubhouse.
USE OF COURTS by NON-MEMBERS
Members may bring a guest up to four times per year. Members must notify the club in advance by email to carraigtcinfo@gmail.com of their intention to bring a guest and provide the name of the guest.
Courts 3 is available free of charge to non members on Saturday afternoons from 12-4pm (approx) unless the courts are in use by the club for a league or tournament. Non members must observe the general rules posted on the courts. The clubhouse facilities are not available to non members.
INFRINGEMENT OF RULES AND MISCONDUCT
A member of the Club may be the subject of disciplinary proceedings in the event of an alleged breach of the Club Rules, or alleged misconduct, or an allegation of bringing the Club into disrepute.
CLUB COMPLAINTS PROCEDURE
The club has adopted the Tennis Ireland Complaints, Objections & Disciplinary Rules and Procedures
IMPORTANT NOTE: The details of the procedures to be followed in regard to all Complaints, Disciplinary Action and Objections can be found in the Tennis Ireland Complaints, Objections & Disciplinary Rules and Procedures – it is strongly recommended that all members familiarise themselves with that document before initiating any of the above actions.
COACHES SELECTION PROCESS
Carraig Tennis Club does not have any employees. The Club selects coaches. The club advertises positions through club members and the website. Each candidate is interviewed by two members of the committee (a gender balanced panel is to be arranged) who recommend the coaches to the committee. The Committee approves the coaches.
The coaches selected have to be certified by Tennis Ireland and are required to be Garda Vetted.
The coaches receive a contract every year and they have to abide by Tennis Ireland codes of behaviour.
ROLES & RESPONSIBILITIES OF SPORT LEADERS & OFFICIALS
Club Chairperson/President:
- To chair Committee meetings.
- To issue official correspondence on behalf of the club.
- To endeavor to generate good communication between committee members to unite the group
- To encourage the full participation of all committee members
- To liaise with the other officers between committee meetings
- To officiate at club events
- To represent the club in meetings with third parties.
- To propose a strategy for the development of the club.
Club Secretary:
- To record the minutes of the meetings
- To set the agenda for meetings in consultation with the Chairperson/President
- To issue notices of committee and General meetings
- To maintain all club records including incoming and outgoing correspondence
- To deal with correspondence as it arises.
- To maintain and manage all digital records
- To maintain up to date membership records in liaison with the membership secretary
- To communicate with members where appropriate
Club Treasurer:
- To record all financial transactions of the club
- To provide an update on the club’s financial accounts at Committee meetings
- To issue payment for all bills, wages, fees etc. as approved by the Committee
- To lodge all monies received.
- To liaise with sub-committees where necessary in relation to receipt or expenditure of any monies.
- To liaise with the club’s bank in relation to club accounts
- To prepare a financial statement for the AGM
Club Captain:
- To organise all tennis activities within the club.
- To select club teams.
- To liaise with other sub-committees in relation to various events within the club.
- To report to the meetings of the Committee.
- To officiate at club events, prize-givings etc. as necessary
Membership Secretary:
- To respond to all enquiries regarding membership
- To keep an up to date record of all club members and ensure email contact lists are kept up to date
- To register and welcome all new members and provide information on the club rules etc
- To issue reminder notices to members regarding renewal of fees due
Grounds and Maintenance Officer:
- To ensure the club house and courts are kept well maintained
- To liaise with third party suppliers with regard to court cleaning and repairs
- To order new equipment with the approval of the committee
Child Protection Officer:
- Promote awareness of the relevant Codes of Behaviour and Best Practice within the club
- To develop good practice procedures in the recruitment and selection of persons working with young people in the Club
- To report to the committee meeting all issues arising in connection with child protection
- To deal with breaches of the CP code as per relevant guidelines
- Make referrals of alleged allegations of abuse to the Club Designated Person
- To attend all necessary training courses as required
- Is Garda vetted
Dedicated Liaison Person:
- Promote awareness of the relevant Codes of Behaviour and Best Practice within the club
- Develop good practice procedures in the recruitment and selection of persons working with young people in the Club
- To report to the committee meeting all issues arising in connection with child protection
- To deal with breaches of the CP code as per relevant guidelines
- To report any suspected breaches of the CP code to the designated authorities
- To attend all necessary training courses to ensure compliance with the CP policies
- Is Garda vetted
Tennis Development Officer:
- To plan the coaching needs for members
- To develop a plan for junior development
- To liaise with the captains regarding coaching and tournaments
- To assist with club tournaments and open days etc
General Committee Member:
- To attend regular committee meetings
- To give input on club affairs as requested
- To undertake specific tasks as required
- To help out with the organisation of club events
- To promote the interests of the club
